SiteWalk Pro is software for commercial property management companies. This policy explains what we collect, why, and what we do with it.
1. Information we collect
You give us:
- Account details — name, work email, password (stored only as a secure hash; we never see it), your company name, your role, and any phone number or contact email you add so vendors can reach your team from the documents you send. If you sign in with a Microsoft work account instead, Microsoft sends us your name and email address; we never see your Microsoft password.
- Work data you enter — buildings, issues, notes, comments, status changes, and photos taken during walks. This includes contact details you record for other people: the vendors you invite to bid (company, contact name, email, phone) and, where you enter them, a property's owner contacts. Those entries are yours to correct or delete like any other.
- Location — if you allow it, the approximate coordinates where an issue was logged. You can decline; the app still works.
- Billing details — when paid subscriptions begin, billing will be handled entirely by Stripe. We'll store only your plan, your properties' square footage and count, and Stripe's customer reference. We never see or store card numbers.
- If you ask us for a walkthrough — the name, work email, phone number if you give one, and anything you tell us about the properties you manage, sent through the form on our website so we can reply and prepare the demonstration. If you don't become a customer, reply to any of our emails or write to info@sitewalkpro.com and we'll delete it.
Collected automatically: basic technical logs (IP address, browser type, timestamps, error reports) used to keep the service running and secure.
A note about photos: walk photos may incidentally capture people, vehicles, license plates, or tenant signage. We don't analyze faces or plates, don't run facial recognition, and don't use your photos to train any model.
2. Why we use it
Only to: run the service for you; authenticate you; send notifications you or your manager configured; provide support you request; bill you; keep the service secure; and comply with law.
We do not sell your data, rent it, share it with data brokers, or use your data to advertise to you, your tenants, or your vendors.
3. Who else touches it (subprocessors)
We don't run our own servers — your data is held and processed by a small set of established infrastructure providers under data-processing agreements:

We'll update this list before adding anyone new.
4. Your data is separated from every other customer's
Each company's records are isolated by database-level row security policies. The rules live inside the database itself, not in application code a bug could bypass. Members of one company cannot read another company's data.
We test that rather than assume it. A standing test signs in as one company and attempts to read and to write another company's records — it has to fail at both — and we run it against the database when we change how data is stored.
5. How long we keep it
- While you're a customer: as long as your account is open.
- After you close your account: your workspace — including photos — stays available for export for 30 days. We delete it promptly after that window closes, except anything we must keep for legal or accounting reasons (typically billing records for 7 years).
- Backups: deleted data may persist in encrypted backups for up to 30 days after that before those rotate out.
6. Your choices and rights
- Export — download your issues, with their photos, to a workbook from inside the app, any time.
- Correct — edit or delete individual issues and photos yourself.
- Delete — a company admin can delete the entire workspace from account settings, or email us at info@sitewalkpro.com and we'll do it.
- Location — decline the permission, or turn it off in your phone's settings.
- Notifications — turn them off in the app.
Depending on where you live, you may have additional rights (access, correction, deletion, portability, and to appeal a refusal). Email info@sitewalkpro.com and we'll respond within 45 days.
7. Security
Data is encrypted in transit (TLS) and at rest (AES-256), and backed up daily to encrypted storage. Our database provider, Supabase, is SOC 2 Type II and ISO 27001 certified, undergoes regular third-party penetration testing, and is contractually committed to notifying us of any security incident so we can notify you. Passwords are hashed by our authentication provider and never visible to us. Photos are stored privately and served over links that expire. Access to production systems is limited to authorized SiteWalk Pro personnel and contractors bound by confidentiality obligations, alongside the infrastructure providers listed above. No system is perfectly secure; if a breach affects your data, we'll notify you promptly and describe what happened.
8. Children
SiteWalk Pro is business software and isn't directed at anyone under 18.
9. Changes
If we change this policy materially, we'll email account administrators and update the date above before the change takes effect.
